[INTERNAL] Churning A Merchant Process/Checklist
An article to document how to churn a merchant in Hubspot and on the system to ensure accurate reporting and billing is upheld.
HUBSPOT
Most of the churn process in Hubspot is automated i.e. the churn date will be set once you have put the churn reason. But there are still 2 fields that need to be updated. You will need to load the Company in hubspot and "View All Properties" in the left hand side bar under Company Information.
- Company Information -> "Lead Status" -> Change to "Customer - Churned"
- Company Information -> "Churn Reason" -> Set to required
ADMIN PORTAL/BILLING
You will need to at this stage, deactivate the visibility of the merchant within the LoyLap ecosystem and disable their usable tender types. (Free Plans - can still use Stamp so you effectively leave stamp enabled if required)
FEATURES & VISIBILITY
- Info -> Settings -> POS Apps Downloaded -> Untick "Visible in the app"
- Info -> Settings -> Transaction Types -> Untick all ticked
- Info -> Settings -> Order Ahead -> Untick "Enabled" if applicable
- Info -> Settings -> POS App Settings -> Untick "Digital Gift Cards", "Campaign Enabled" if applicable.
**MAKE SURE YOU CLICK SAVE**
BILLING
- Billing -> "Funds Via POS" -> Check that this is greater than 0
- Cross reference with Clover Billing Portal that app is installed
- Billing -> Edit -> Deactivate
- Billing -> Edit -> Change Current Status to Inactive
- Info -> Notes -> Add note for why merchant churned
- Send merchant email that billing has been closed and if they still have Clover apps installed they would need to uninstall to avoid being charged further through Clover.
