Processing a Gift Card Order placed via BigCommerce

1) Once a merchant has paid for their order, the LoyLap sales consultant & cards@loylap.com will receive an email notification from BigCommerce (Hubspot will mark Merchant as Closed Won - Hardware Sale) to inform them of the details of the purchase

 

2) Logistics Team should then login to Bigcommerce 

3) Select 'Orders' from the Left side panel

 

4) Search for the order you wish to process & select the envelope icon next to the price of the order in order to get the link to the card design

 

5) Copy and paste the last Adobe URL in the thread into a new browser to open the design file 

 

6) Once open, download the file to your computer and save it using Merchant name and their group_id e.g. 'paddypizza108' 

 

7) Open the admin portal on the Merchant that ordered the cards page, and upload the design to the 'Gift Cards' tab. Note - if the file has both the front and reverse of the card saved in one, then you need only upload to 'Front Image' and it will automatically populate both fields.

 

8) Email the client to confirm that their design is entering manufacture and will be with them within X days. Attach to the email the design file and ask the Merchant to review the file & if they see an error to please inform us within 12 hours so that the manufacture can be halted 

 

9a) If there is no issue on the design, proceed to place the order with the manufacturer

9b) If there is a design issue, email the design back to design@loylap.com conveying the amendment the Merchant wants & once Merchant approves, replace the design in the admin portal & adobe and reconfirm order with Merchant before placing.
